As an Executive Assistant, you are a very strong organizer, communicator and proactive individual who thrives in a fast-paced, technical environment. You are a team player and you work well and enthusiastically with a wide variety of people at all levels of management. Your mandate will involve artfully and thoughtfully managing numerous programs and activities with a high level of professionalism, collaboration and confidentiality.


What you’ll do

  • Monitor and manage deadlines related to follow-up activities and action items that result from meetings and workshops
  • Prioritize and adjust priorities in a fast-paced environment subject to constant change, with agility and effectiveness
  • Review requests, summarize and communicate information to appropriate stakeholders
  • Ensure high-priority items including senior leader requests and/or escalations are flagged for immediate action
  • Address escalations both internally and externally and ensure they are actioned promptly
  • Resolve calendar conflicts to ensure the right team members are in the right place at the right time
  • Support the team’s compliance with corporate policies including Data Privacy
  • Organize and run monthly team meetings, learning sessions
  • Manage and prioritize calendar scheduling, travel arrangements, email requests and expenses for VPs and broader team, as applicable
  • Be available outside of normal working hours to provide support to the executive on urgent matters, tight deadlines as required
  • Coordinate internal provisioning requests, real estate requests, maintain equipment and services
  • Manage special projects as required

Qualifications

What you bring

  • Professional corporate image combined with strong interpersonal skills, and an ability to communicate in a professional manner with senior executive management, internal and external stakeholders (verbal and written)
  • Precise and effectively written emails; ability to edit correspondence and reports and to prepare materials for submission to governments and tribunals
  • Independent judgment, discretion and diplomacy
  • Resourceful, with the ability to prioritize, multitask and meet deadlines with minimal supervision to meet the needs of internal clients
  • Willingness to work in a role that requires high degree of flexibility in terms of rapidly changing priorities
  • Strong organizational skills with the ability to pay close attention to detail while under tight timelines
  • Ability to exercise initiative in adapting procedures to address unusual problems and resolves conflict
  • Advanced knowledge of Google Suite:
    • Google Calendar & Meetings: Multiple calendar management, comfortable dealing with multiple time zones, highly organized archiving skills
    • Google Documents: Ability to edit reports according to branding and template standards
    • Google Sheets; Ability to work within large and complex spreadsheets
    • Google Slides: Ability to create animated slide decks, and graphs according to brand and template standards
  • Exposure to administrative support responsibilities in a senior management environment
  • Post-secondary degree or diploma

Great-to-haves

  • Bilingualism (French is an asset)
  • SAP knowledge and experience would be an asset

Salary Range: $67,000-$101,000

Performance Bonus or Sales Incentive Plan: 10%
