Regional Engagement Lead Volunteer Resources

Reporting to the Project Manager, BC Patient-Centred Measurement Working Group, the Regional Engagement Lead – Volunteer Resources (for the designated regional health authority) leads a centralized and standardized volunteer resources management model designed to support volunteer interviewers to meet the needs of the BC Office of the Seniors Advocate Residential Care Sector Survey. For the designated geographic area, the position holds primary responsibility for recruiting, screening, on-boarding and deploying approximately 300 volunteers who - using a standardized interview methodology and questionnaire - will be conducting interviews in-person and through mail/online surveys with residents in approximately 300 care homes overall across each of five geographic health authorities. Co-facilitates volunteer training sessions for the designated health authority with the Provincial Project Manager and/or Long Term Care Consultation Group Representative, and provides feedback and input to ensure continuous improvement in the survey administration protocols and the training curriculum and materials.
Qualifications / Skills and Education
Undergraduate degree in a related field. Minimum of three years recent, related experience working in disciplines such as volunteer management, project coordination, human resources, or education, or the equivalent combination of recognized education, training and experience acceptable to the organization.
Valid Driver’s license required and access to a vehicle preferred.
Skills and Abilities
Demonstrated experience organizing, coordinating, and managing teams and/or teams of volunteers.
A solid track record of stakeholder engagement and experience working with multiple stakeholders and groups.
Diplomatic problem solving and conflict resolution skills.
Exceptional organization, delegation, presentation, communication, facilitation, and relationship building skills.
Ability to work independently, but also as a member of a provincial team.
Ability to operate equipment, with excellent computer skills (i.e. Word, Excel, and Outlook)
Strong knowledge of health regions and residential care services. Experience working with teams and residents in long term care or within other clinical settings preferred.
Ability to work a flexible schedule depending on program demands (evenings, weekends or split shifts as necessary).
Ability to communicate effectively and clearly in English both verbally and in writing. Proficiency in other languages an asset.
Ability to conduct meetings effectively with residents, patients, volunteers, the public and staff in an appropriate and courteous manner

Duties and Responsibilities
Works with the Provincial Project Team to develop a volunteer recruitment strategy and timeline.
Conducts the volunteer recruitment campaign with provided materials and recruits potential volunteer interviewers in an organized and ongoing manner targeting specific audiences for each position required. Provides candidates with key messages and established promotional materials, and answers questions and inquiries from applicants and the general public in a timely manner.
Using the provincially standardized process, reviews and pre-screens all applications in a timely and professional manner. Notifies applicants who meet the pre-screening criteria, and those who do not. Conducts interviews, reference checks and criminal record checks for candidates who successfully met the pre-screening criteria.
Within the designated health authority, establishes a schedule of one-day training sessions for potential volunteers and liaises with the survey vendor for logistical support. Schedules volunteer candidates to attend mandatory training sessions, and co-facilitates and/or hosts all training sessions for the designated health authority. Identifies and confirms those candidates who have successfully met the established project performance criteria to be eligible to conduct resident interviews.
Manages and monitors the overall resident interview process, volunteer progress, and the overall project objectives and timelines for the designated area of responsibility. Debriefs volunteers following their first interview and again at the end of their commitment.
Evaluates quality of the quantitative and qualitative data collected by the volunteer interviewers, oversees data entry procedures, and identifies means of validating data and enhancing quality control of data. Ensures timely data submission or transfer to the vendor, and adherence to information security protocols.
Provides formal and informal supervision, support, and encouragement to volunteers and maintains regular and open communication with volunteers.
Establishes and maintains relationships with all long term care/residential facility leadership and related staff in the assigned health authority to ensure collaborative relationships between all stakeholders, including residents and families/visitors.
Works with facility leadership, the Project Manager and the survey vendor to establish schedules for interview/ survey activities, to ensure common understanding of the expectations of the volunteer interviewers at their site, and to address any concerns or questions. Supports facility leadership to ensure adequate notice of the survey schedule is provided to the residents, their family members and the facility staff.
Ensures consistent and clear communication between interviewers, staff at the LTC/Residential care facilities, the Provincial Project Manager, and the survey vendor on issues relating to progress, challenges, and successes.
Participates with the Provincial Project Manager in planning and hosting a regional recognition event for volunteer interviews at the completion of the project.
Participates in committee meetings as required.
Performs other related duties as required.
As per the current Public Health Orders (Long Term Care/Seniors Assisted Living Provincial Health Order and the Health Sector Order), as of October 26, 2021, all employees working for Providence Health Care must be fully vaccinated against COVID-19. Proof of vaccination status will be required.
